TERMS AND CONDITIONS
The Craters Classic offers a range of discounts and promotions to encourage participation and reward members and their families. By entering the event, participants agree to these discount and promotion terms and conditions, and accept the event terms and conditions. If there is any inconsistency between the two, the event terms and conditions will prevail unless these terms specifically state otherwise.

‘Standard Entry Fee’ Means the advertised full retail entry fee applicable at the time of registration, excluding any discounts, promotions or special pricing.

The following promotions will be offered throughout the entry period:
Bike Taupō Member Pricing – 25% off the Standard Entry Fee.
Family Pricing – 15% off the Standard Entry Fee for 2 adults and up to 2 children (16 years and under inclusive).
Buy One Get One Free Launch Promotion – available only during the advertised promotional period (Sept 15 - Oct 15) or until allocations are exhausted.
Kids Discount $20.00 - Available to any child under 16 competing at any Craters Classic event (where another discount has not been applied first - excludes kids Craters)
Availability, eligibility and promotional periods are subject to change before purchase.
MULTIPLE DISCOUNTS AND PROMOTIONS

Only one discount, promotion or special offer may be applied per entry.
Discounts and promotions cannot be combined or stacked.
The registration system will apply the highest eligible discount where possible.
Participants are responsible for applying promotional codes during registration.
No retrospective discounts, refunds, credits or adjustments will be provided.

Registrations open 15 September 2026.
The BOGOF promotion runs from 15 September to 15 October 2026, or until the allocated BOGOF entries have been claimed, whichever comes first.
Purchase and pay for one eligible event entry and receive one complimentary entry code.
One complimentary code will be issued for each eligible paid entry.
The complimentary code can be given to a friend or family member, who must complete their own registration using the supplied code.
The complimentary code must be redeemed during the promotion period and no later than 15 October 2026. If the allocated BOGOF entries are exhausted before this date, previously issued valid codes may still be redeemed until 15 October 2026.
The complimentary participant must enter the same event category as the original paid participant.
The two participants are considered a “team” for the purposes of this promotion only. They do not need to ride together.
Complimentary entries cannot be upgraded or downgraded without prior agreement from the Craters Classic event team. Approved changes will incur a $15 administration fee, plus any applicable difference in entry price.
Unused codes expire at the end of the redemption period and will not be replaced, refunded or extended.
Codes are single-use only, have no cash value and cannot be exchanged for cash, credit or a refund.
Codes may not be sold, transferred for commercial purposes or used in conjunction with any other promotion or discount.
If the original paid entry is cancelled or refunded, Craters Classic reserves the right to cancel the associated complimentary entry unless the applicable entry fee is paid.
Complimentary entries are subject to the Craters Classic Event Terms & Conditions.

You will receive 25% off the standard entry fee.
Available only to current active Bike Taupō members at the time of purchase.
Membership will be verified.
If membership cannot be verified, the participant will be required to pay the difference.
You will receive 15% off the Standard Entry Fee.
Valid for 2 adults and 2 children aged 16 years and under (inclusive).
All eligible family members must register in the same transaction.
Additional participants are charged at the applicable entry fee.
GENERAL CONDITIONS

The organiser may verify eligibility for any promotion.
Proof of age, membership or eligibility may be requested.
The organiser may remove or reverse discounts applied in error or where eligibility requirements are not met.
The organiser reserves the right to investigate suspected misuse or fraudulent use of promotional offers.
The organiser reserves the right to correct pricing, promotional or technical errors.
The organiser may amend or withdraw promotions where necessary to protect the integrity of the event.
All decisions regarding discounts, promotions and eligibility are final.
By entering the any of the events under the Craters Classic brand, you are confirming that you are/your child is fully capable of participating.
You/your child acknowledge that you are physically fit, have sufficiently trained for this event, and can confidently ride the grade of tracks in the chosen course.

REFUNDS

If you need to withdraw your entry no refunds or transfers to future events will be offered. While not mandatory, we would recommend you can take advantage of the XCover option when making your online event entry. Please read their T&C’s carefully regarding what is covered under the policy.
XCOVER BOOKING PROTECTION

Protect your entry fee by covering yourself with XCover when you’re doing your online entry.
When making your online entry, you’ll be given the option to take out refund protection during the online registration process. Those that opt for protection will be instantly protected against unforeseen circumstances which include things such as accident, injury, illness, death, and transportation issues. All customer refund requests are managed and handled by XCover.
XCover must be purchased at time of entry. We cannot add it at a later date.
MAKING A CLAIM

The claims team prioritises those claims that are filed within 7 days of the claim event. Claims must be submitted within 45 days of the booked event.
Provide a detailed description of the event.
For all claims they require, as a minimum, a detailed description of the event. We may request documents during the claim process such as booking invoices and receipts. If required documents are not provided to us the claim may be rejected or the status changed to “Pending”.
TRANSFERS TO ANOTHER RIDER

You can transfer your entry to another rider online, at no charge, up until online entries close.
To transfer your entry, simply log in to your online registration and follow the transfer process.

You can transfer your entry to another event online, at no charge, up until online entries close.
To transfer your entry, simply log in to your online registration and follow the event transfer process. Any difference in entry price will apply.
To change your start group simply log in directly through your online registration and edit the start group question.
This is available online until XXXXXX after this time all changes need to be requested via cratersclassic@biketaupo.co.nz or at event registration on Friday 16th and Saturday 17th April 2027.

Whilst every effort will be made to run the event, it is possible that the event could be cancelled at any stage, this decision is to be the sole discretion of the organisers.
Under no circumstances shall the organisers be held liable for any delay or failure in performance resulting directly or indirectly from acts of nature, forces or causes beyond its reasonable control including without limitation; fires, flood, storms, explosion, acts of God, war or governmental actions.
Please note: We reserve the right to remove riders from the course if we feel it is necessary for the health and safety of our competitors and volunteers. This decision will be at the race director’s discretion.
Change of route or dissatisfaction
In the event of a change of route or dissatisfaction, the organisers are under no obligation to provide any refund, either in part or full.
